Frequently Asked Questions

TitleMagic lets title and escrow processors send clients a secure, no-login Magic Link to fill out and e-sign their forms. Below are answers about how links work, title software, security, retention and pricing.

What is TitleMagic?

TitleMagic is a platform for title and escrow teams. It lets your processors send buyers and sellers secure Magic Links to fill out and sign forms online, then track every signer, review the answers and download a complete signed PDF for the file.

Does TitleMagic replace my title software?

No. Your title production system stays your system of record. TitleMagic sits in front of it: clients complete and sign their information forms through a Magic Link, and your team moves the signed data into the system it already uses.

Which title platforms does TitleMagic work with?

TitleMagic is platform-neutral. It is designed to be used alongside Qualia, SoftPro, RamQuest, ResWare, AccuTitle and other title production systems. Today your team reviews each submission in the dashboard and downloads the signed PDF for the file; CSV and JSON exports are coming soon. TitleMagic does not currently connect directly to any of these systems.

Can we use TitleMagic without a title platform?

Yes. Attorney firms and agencies that don't run a title production system use TitleMagic on its own as their client intake: send a link, and get back a complete, signed form with its audit trail.

What is a Magic Link?

A Magic Link is a secure, unique link sent to your client by email. They click it, complete the form, and sign by drawing or typing their signature. There is no account to create and no password to remember, so clients never get stuck at a login screen.

Do my clients need a portal login?

No. That is the point of TitleMagic. Clients complete forms from the Magic Link on any phone, tablet, or computer, without creating an account or remembering a password.

Is the data secure?

Every Magic Link is unique to one signer and expires after 7 days. Data is encrypted in transit, and sensitive fields such as Social Security and bank numbers, plus uploaded documents, are encrypted at rest with AES-256-GCM and never sent by email. In the dashboard sensitive values are masked, and every reveal or download is logged. We never sell your clients' information. See our Security page for details.

Are TitleMagic e-signatures E-SIGN and UETA compliant?

Before signing, every signer must agree to a Consent to Electronic Records and Signatures, as the federal E-SIGN Act and UETA require. They then draw or type their signature. TitleMagic records the date and time, IP address and browser (user agent) of each signature and prints the consent and audit trail in the signed PDF.

How long does a Magic Link stay valid?

Magic Links expire after 7 days. From the dashboard a processor can extend a link by 7 more days or resend it with one click; resending issues a new link and the old one stops working.

Can more than one person sign the same form?

Yes. A form can go to several signers, for example a buyer and co-buyer, and each gets their own Magic Link and fills only their part. Processors can also add another signer to a form that has already been sent.

What is included in the signed PDF?

The PDF contains the company logo, every answer grouped by section, each signer's signature with the signed date, IP address and browser, the e-sign consent text and uploaded documents such as a driver's license. Social Security and bank numbers are masked to the last four digits.

Which forms can I send?

The Forms Library includes Buyer Information, Seller Information, 1099-S Seller Certification, Payoff Authorization, HOA / Management Authorization, Wire Fraud Advisory Acknowledgment and Entity / Trust Buyer Information, plus our classic buyer, seller and refinance forms. Every plan can send all of them and hide optional fields. Your company is responsible for reviewing each template before it uses it with clients.

Can we add our own disclaimers?

Coming soon. You will be able to add a company-wide disclaimer to the footer of every form and signed PDF, plus an optional disclaimer above the signature on individual forms, with an optional "I have read and understand" checkbox. Every edit is saved as a new version, and each signed form keeps the exact wording the client saw. Your company is responsible for the content of its own disclaimers.

Can we add our own questions?

Yes, on the Pro and Office plans. Copy any template, rename it (for example "Buyer Info – Cash"), and add your own questions at the end of the form: short or long text, date, yes/no, dropdown, file upload or initials. Every change is saved as a new version, and links you already sent keep the version they were sent with. Starter plans can hide optional fields on any template.

Why doesn't TitleMagic collect wire instructions?

Because wire instructions are the main target of real-estate wire fraud. Criminals impersonate title companies and agents by email and send fake instructions, and money wired to them is rarely recovered. Collecting account and routing numbers through an emailed link would add one more place for that to go wrong. Instead, our forms tell clients that their closing team will confirm how they receive proceeds by phone, and the Wire Fraud Advisory template lets you send your wire-safety warning and record each client's signed acknowledgment.

How long is our data kept?

By default, client data is kept for as long as your account is active. Your account owner can instead choose a retention period (for example 1, 3 or 7 years), after which each submission is deleted automatically, optionally keeping a copy of the signed PDF. You can export all your records in one click at any time. If you cancel, your account stays available read-only for at least 30 days, we email your account owners reminders, and submission data and documents are permanently deleted 90 days after cancellation. Your company is responsible for keeping its own records for as long as the law and your underwriters require, including Form 1099-S records. See our Terms and Privacy Policy for details.

How does pricing work?

TitleMagic is a month-to-month subscription based on how many Magic Links you send: Starter $149/month (up to 50 links), Pro $249/month (up to 200) and Office $399/month (unlimited), with no setup fee. See the Pricing page for details.

Is there a free trial?

Yes. Every new account starts with a free trial of 5 Magic Links, with no card needed and the same features as Starter: the full form library, sending, tracking and signed PDF downloads. When you have used them, choose a plan to keep sending. Links you already sent and forms already signed stay available.

Is there a setup fee?

No. Assisted Setup is optional. If you want us to configure your branding, disclaimers, form templates and export format for your title software and run a live walkthrough with your team, you can add Assisted Setup at checkout for a one-time $499.
